Terms of service

By creating a HybridHQ account, you agree to these terms. If you're signing up on behalf of a business, you confirm you have authority to bind that business.

• You're responsible for keeping your password secure
• You're responsible for all activity on your account
• One person per account — no shared logins
• You must be at least 18 years old (or have guardian consent)

You agree not to:

• Use HybridHQ for any illegal purpose
• Upload content that infringes others' rights
• Reverse engineer, scrape, or copy the platform
• Resell access to the platform without our written agreement
• Use HybridHQ to provide medical advice or diagnose health conditions — coaching is not a substitute for medical care

When you invite athletes to your business, you remain the data controller for their personal data. We are the data processor. You are responsible for:

• Getting proper consent from athletes before adding them
• Having your own privacy policy that covers what you do with their data
• Honouring their data rights (access, deletion, correction) within your business

AI features (Athlete Summary, Draft Check-in Reply, AI Coaching Copilot) generate suggestions from coaching data. The platform never auto-sends AI-generated content — every action requires your explicit approval. You remain fully responsible for any communication or programming decision, AI-assisted or not.

• After the trial, billing is monthly per coach seat (see pricing)
• Cancel any time — your business data is exported and retained for 30 days
• No refunds for partial months

If you charge your athletes through HybridHQ, payments are processed via Stripe Connect. You are the merchant of record for those charges. HybridHQ may charge an application fee on each charge as disclosed on the pricing page. Disputes, refunds, and chargebacks for athlete payments are governed by your Stripe account's terms with Stripe. We may deduct unrecovered chargebacks and processing fees from your future payouts.

We may suspend or terminate your account if you breach these terms, are abusive to support, or use the platform in a way that harms other businesses on the platform. You can delete your account any time by emailing hello@hybridhq.fit.

HybridHQ is provided "as is". We'll work hard to keep it up and safe, but we can't guarantee uninterrupted availability, perfect data integrity, or fitness for any specific purpose. To the extent allowed by law, our liability is capped at what you paid us in the past 12 months.

These terms are governed by the laws of England and Wales. Any dispute will be resolved in the courts of England.

We'll email business owners when we make material changes to these terms. Continued use after a change means you accept the new terms.
